Administrative Assistant, Property Management

Reporting to the Senior Property Manager, this candidate will fill the full-time position of Administrative Assistant in Mississauga, ON. 

This position will provide confidential support for a property management team and will be responsible for a variety of tasks.

If this is your new role, you will:

• Complete tenant maintenance requests in a timely manner; take action on complaints if needed
• Coordinate Move-in/Move out inspections with tenants
• Communicate and/or sending out all tenant advisory notices
• Assist with the set up and maintenance of a computerized preventative maintenance program (ANGUS)
• Assist with budget preparation and reporting
• Perform various administrative duties including; typing, filing, expense reports, travel arrangements, etc 
• Be responsible for updating capital reports
• Assist property managers in the organization and follow-up on tenant renovations and improvements
• Develop and maintain an excellent line of communication among building operators, staff, management, contractors and tenants and other extern parties; maintaining excellent working relationships
• Assist in the preparation of formal leases, offers to lease and other documentation as required
• Prepare tendering and contract document
• Assist in due diligence of property acquisitions as needed
• Communicate any unusual operational issues to the appropriate Property Manager 
• Assist in setting up tenant functions and events
• Perform other duties as required

We are interested in meeting you if you: 

• Have post secondary education in related discipline with a minimum of two years experience working as an administrative assistant
• Are knowledgeable about the real estate industry
• Are proficient with Microsoft Office products (Word, Excel, PowerPoint and Outlook); knowledge of Realm Lease, Prospector and Dyna will be considered an asset
