Administrative and Leasing Assistant

Position Overview: 
Reporting to the Senior Director and the Director of Leasing, the successful candidate will be assisting the Senior Director, Director and Managers in a wide variety of confidential administrative duties

If this is your new role, you will: 

• Manage administrative workflow for Suburban and Financial Core Asset Management Teams by  maintaining electronic and paper filing systems, photocopying and scanning documents
• Perform various administrative tasks; including calendar management, coordinating meetings, manage reoccurring team meetings and minute taking; travel arrangement and expense statements
• Assist in the coordination and production of various department reports  and presentation documents; including quarterly reports for clients, weekly and monthly status reports ensuring timely delivery
• Assist with various leasing responsibilities; including the production of proposals, offers, general correspondence, reports and minutes; tracking proposals; preparing monthly leasing reports
• Receiving and handling inquiry calls from clients, tenants, lawyers and brokers
• Assist in developing marketing related materials in accordance with our national marketing criteria, as well as organizing and assisting in special events and functions.
• Work with various internal groups on behalf of Leasing Manager/Representative to ensure each department is aware of deadlines
• Update vacancy listings to brokerage community on a regular basis; updating deals in database
• Work as a team member of the administrative staff; including providing reception coverage as needed

We are interested in meeting you if you: 

• Have post secondary education in related discipline with a minimum of five years experience working as an administrative assistant
• Are knowledgeable about the real estate industry, with a focus on leasing
• Can tell us about your ability to take initiative and be a team player
• Are highly proficient with Microsoft Office (Word, Excel, PowerPoint, Track Changes and Outlook)
• Can be a self-starter, take initiative and work in a fast-paced dynamic environment
