Position Overview:

Reporting to the Vice President, Investments, the successful candidate will fill the full-time position of Executive Assistant at our corporate office in downtown Toronto. The primary responsibility of the Executive Assistant is to provide overall administrative support to the Investment team.  The successful candidate with be a professional and cooperative team player and effective individual contributor with experience working with executives.


• Overall calendar management, ensuring schedules and deadlines are met
• Oversee all details for the coordination of internal and external meetings, including managing meeting notification, agenda and document preparation and distribution, ensuring all participants are confident with meeting coordinates, and minute taking
• Screen incoming mail and phone calls for the Vice President and members of the Investments team
• Act as point of contact for Investment team, communicating with and responding to inquiries from home, regional and field offices, as well as clients and consultants
• Prepare a variety of documents, including letters, memos, and reports; presentations; and spreadsheets
• Assist in the coordination of due diligence processes including being point of contact, organizing reporting groups, and maintaining files
• Create and maintain electronic and paper filing systems as required
• Travel logistics
• Prepare monthly expense reports for team members
• Other administrative and support responsibilities as required


• Education acquired through completion of a post-secondary degree or equivalent
• Minimum of three to five years experience in an executive assistant role
• Advanced skills in MS Office suite including Word, Excel, PowerPoint and Outlook with confidence in learning new software applications
• An understanding of the importance of tact and discretion with regards to confidential and sensitive issues
• The ability, self-confidence, and assertiveness to evaluate problems and situations and find effective solutions
• Organized with the ability to multi-task and set priorities
• Excellent written and oral communication skills with exceptional attention to detail
• Flexible and adaptable
• An eager self-starter who works easily and comfortably in a fast-paced environment with self-motivation and the ability to work on projects independently or within a team
• Ability to establish and maintain positive working relationships with effective interaction with clients, colleagues, team members and different levels of management
